Villa Marta, Szczawnica Rules and Regulations

§1 The Subject of the Statute

  1. The Statute defines the rules and regulations of the Villa service, responsibilities and residence at the Villa. It constitutes an integral part of the agreement made by signing the registration form and also by making the reservation or making an advanced payment or paying the total price. By doing so, a guest confirms that they know and accept the conditions of the Statute.
  2. The Statute binds all the guests staying at Villa Marta.
  3. The Statute is available to see at the Villa‘s reception desk, in every room, and also on the Villa's website

§2 Check-in / Check-out

  1. Only guests who are registered at the Villa are entitled to stay and use the villa's services.
  2. In order to make a reservation a guest is obliged to show an identity card at the reception desk and to sign the registration form.
  3. A room at the Villa can only be booked for a full hotel day.
  4. A hotel day lasts from 3 p.m. till 11 p.m. on the following day.
  5. If the guest has not specified the time of stay while booking a room, it is assumed that the room has been booked for a one day.

§3 Prolonging the stay

  1. A guest can request for prolonging the stay. To this end, guests should notify the reception about his wish by 10:00 a.m. of the day on which the room rental period expires.
  2. The Villa takes it into consideration if there are any rooms available.
  3. Extending the stay in the room beyond 11.00 a.m. without prior agreement with the Villa's reception is treated as a prolongation of the stay. If a guest leaves the room after 11.30 a.m., the reception may charge a fee for half a day of renting the room according to the current standard price list.
  4. A guest cannot make their room accessible for anybody else, even if their stay in the room is not finished but has been fully paid.

§4 Payment

  1. The Villa reserves the right to demand payment in advance in the case of guests staying for the first time at the Villa. In case of refusal, the receptionist is obliged to refuse to give the key to the room.
  2. A person who is a Villa‘s guest for the first time it is not allowed to use the credit of the Villa and transfer the bills from the restaurant onto the room account.
  3. Invoice issued at the Villa's reception is the payment confirmation for the stay.
  4. In the case of resignation from individual meals or early departure through no fault of the Villa, the Villa shall not refund the previously paid fee.

§5 Cancellation Policy

  1. In the case of cancelling the reservation:
    up to 30 days before arrival - 50% of deposit will be charged
    up to 14 days before arrival - 75% of deposit will be charged
    up to 7 days before arrival - 100% of deposit will be charged

§6 Guest’s and Villa‘s Responsibilities

  1. A guest bears material responsibility for any damage of Villa‘s equipment or technical devices if they were caused by the villa’s guest himself or any people visiting them. Villa reserves the right to debit their credit cards for any damages after the departure.
  2. Villa does not take responsibility for damaging or losing a car or other vehicle belonging to a guest together with the goods or animals left in it. Regardless the fact whether the car was parked in the free car park in front of the Villa or nearby.
  3. The Villa is not responsible for valuables and money left on the Villa’s public areas.
  4. Guest should inform the receptionists about the damage immediately after its occurrence
  5. It is forbidden to use any additional electrical devices not included in the room equipment, such as heaters, electric machines, radiators, etc..
  6. A guest should close the windows, turn off the TV, turn off the lights, close the taps of the water supply system, check the door closure each time they leave the hotel room for security reasons, and leave the key at the reception desk.
  7. For the lost key the 30 pln amount due shall be deducted.
  8. All individual trips (mountain trips, etc.) should be reported at the reception desk for safety reasons.
  9. Guests shall comply with the fire regulations.
  10. Smoking is strictly prohibited. Noncompliance will result in a fine.
  11. The following are forbidden: moving, removing objects and room equipment (e.g. bedding etc.) and pledges from restaurants, destroying greenery.

§7 Quiet Hours

  1. The entrance door closes at 10:00 p.m. and opens at 6:00 a.m.. Guests coming earlier or later report this fact at the reception desk.
  2. Quiet hours last from 10 pm until 6 am.
  3. A person, who is not a Villa‘s guest, is allowed to be in the hotel room from 7 a.m. till 10 p.m. after prior notification at the reception desk.

§8 Children

  1. Parents or children supervisors are obliged to take special care of their kids.
  2. Children under 7 years old do not receive room keys at the reception.

§9 Animal Policy

We would like to guarantee peace and safety for our guests, so please notice that pets are not allowed in our guest rooms and Villa public areas.

§10 Others

  1. The Villa can reject accepting a guest if they violated the Villa statute on the previous stay, especially by causing damage to the Villa, guests, Villa staff, or other people staying at the Villa at the time.
  2. Villa guests have the right to make complaints if they notice any infringement in the quality of service at the Villa. All the complaints should be made at the reception desk.
  3. In the case of matters not covered by these regulations, the Villa‘s manager is available to help.

§11 Protection of Personal Data and Privacy

Pursuant to Article 13 Clause 1 and Clause 2 of the personal data processing regulation 2016/679 of 27 April 2016 [GDPR], please note that:

  1. The administrator of your personal data is: Thermaleo Plus Sp. z o.o. with the office in Warsaw, ul. Bartoszewicza 3/30, 00-337 Warszawa.
  2. The Data Protection Officer of Thermaleo Plus may be contacted by email at:
  3. Your personal data will be processed for the purpose of conclusion and carrying out of the contract for providing hotel services. Moreover, the objective of personal data processing is: assertion of claims, if any, or protection against such claims, documentation of the service for tax purposes. The administrator processes also personal data of the guests collected by the monitoring services to ensure safety. If a guest expressed consent for processing data for the purpose of receiving the Thermaleo Plus – Szczawnica newsletter, the administrator processes personal data for this purpose.
  4. The legal basis for personal data processing is the contract for provision of hotel services on the basis of Article 6.1b) GDPR, in case of asserting of claims and monitoring – the justified objective of the data administrator under Article 6.1f), in case of fulfilling tax obligations – the regulation of the law under Article 6.1c) GDPR. The legal basis for guest data processing for sending the Thermaleo Plus-Szczawnica newsletter is the consent of the guest under Article 6.1a) GDPR. This consent may be withdrawn at any time, which does not affect the validity of the processing which took place before the withdrawal of consent.
  5. The administrator provides personal data to the following categories of entities: the companies providing IT support services and providing software, transport and taxi companies in the situation of ordering transport or courier package by the guest, legal agencies providing legal counselling and court representation services.
  6. Your personal data will be stored in case of: the data acquired in connection to the conclusion of a contract for providing hotel services – for the time equal to the limitation period for tax or civil law claims, whichever occurs last; the data acquired under a consent for the transmission of the newsletter – for the period of validity of the consent expressed for this purpose; the data acquired in connection with monitoring – for 14 days of the date of fixing, and then erased permanently.
  7. You are entitled to access the content of your data and to correct them, delete, restrict processing, transfer the data and file objection against processing by contacting:
  8. You are entitled to file complaint with the supervisory body, which is: the President of the Bureau for Protection of Personal Data.
  9. The administrator does not intend to transfer personal data outside of the EAA.
  10. Providing personal data by you, in the scope of the first and last name and address of residence or the number and series of the document of identity is voluntary, however it is necessary to conclude the hotel services contract.
  11. If your personal data are made available through a booking portal, a travel agency, corporate clients or other intermediaries, the information about the scope of your personal data processed may be obtained at the reception desk of the villa or by contacting

For the sake of comfort of your stay at the Villa Marta, we would like to inform that smoking is completely forbidden. In the event of any violation of the above, we reserve the right to charge the guest a room-refreshing fee set at the level of the price of the additional accommodation.


In case of smoke or fire, the following applies:

  • notify the room supervisor,
  • the Villa‘s staff,
  • reception desk,
  • evacuate by stairway.

Let us remind you that during the smoke the largest amount of fresh air is located just above the floor at knee level. Evacuation from the Villa must be carried out at the request of personnel in the event of an emergency.

If a fire is detected or an evacuation is necessary, peace and quiet must be maintained. The staff of the Villa is trained and prepared to provide the necessary assistance and care.
